How to Audit a Hotel Furniture Manufacturer in China

A practical audit framework for hotel owners, procurement teams and importers evaluating custom furniture capability before issuing a project order.

A factory audit should answer a practical question: can this supplier build your approved furniture package repeatedly, document the work and deliver it in the correct sequence? A showroom visit alone cannot answer that question. Review the workflow, the evidence and the people who control each handover.

ISO explains that a quality management system is a set of documented processes and responsibilities intended to make outcomes more consistent. When auditing a manufacturer, use that idea to ask for proof of process ownership. Do not treat a logo or certificate as a substitute for checking the project controls themselves. Ask questions that reveal project risk

  • Who checks each drawing before production begins, and how are revisions communicated?
  • Where are approved samples stored and how are they referenced on the line?
  • What happens when a finish, dimension or hardware component is out of tolerance?
  • How does the factory separate hotel room types, floors and phases during packing?
  • Which parts are made in-house and which are sourced from approved partners?
  • Can the team show photos, reports or records from a comparable completed project?

Connect audit findings to the quotation

An audit is useful only when its result changes the procurement plan. If a factory is strong in joinery but relies on a partner for upholstery, state that scope and approval route in the quotation. If mock-up approval is required, add the milestone to the schedule. If the job needs room-by-room labels, include the exact carton-mark format in the order documents.

For U.S. imports: the importer of record remains responsible for understanding applicable import requirements, even when using a customs broker. Confirm responsibility for freight, documentation, entry and destination requirements before goods leave the factory. Read CBP’s guidance.
