Sofa sample approval checklist before production
For an OEM sofa order, record what you have approved against an identified model, sample and document revision before authorizing production. A message saying “looks good” does not explain whether you accepted the dimensions, upholstery, comfort or packing. Use a written approval record alongside the inspection stages on this page, and agree which unresolved items prevent production from starting.
Identify the reference before checking the sample
Start your furniture quality control checklist with the model or SKU, sample ID and revision, drawing revision, upholstery or finish references, reviewer and review date. For a sectional sofa, identify the configuration and orientation as well. If a drawing, swatch or sample changes, record the new reference rather than leaving two versions that could be mistaken for the approved one.
Agree the requirement for each item before recording the result. “Matches drawing revision B” is more useful than “size OK.” Use the dimensions and tolerances agreed for the selected model; this worksheet does not set universal acceptance limits.
Separate the observation from the decision
Give each check its own requirement or reference, observation and decision. Include relevant dimensions, upholstery appearance, seam position, comfort, assembly details and packing or label artwork within the agreed scope. Where a decision depends on physical feel or comfort, agree how the physical sample will be reviewed. Photos and video can support a discussion, but do not treat visual approval as confirmation of comfort or material composition.

Hypothetical example: A buyer accepts the upholstery swatch for a two-seat sofa but asks for a different leg finish. Record the upholstery approval separately, mark the leg finish “revise,” identify the replacement finish reference and keep production on hold pending the required review. An accepted fabric does not mean the complete sofa is approved.
Carry the agreed reference into inspection planning
Download the blank sample approval checklist (CSV) to record these decisions. Use it to prepare the approval record for your order. Keep changes and follow-up visible until they are resolved, then agree which references will guide production checks and final inspection.
Sample approval defines the agreed reference; it does not establish that the bulk shipment conforms. Plan the later inspection scope separately.
